Privacy Policy

This Privacy Policy explains how ProfX Technologies ("ProfX," "we," "us," or "our") collects, uses, and protects information when businesses and their authorized users use ProfX.
Information we collect
We may collect account and contact information, company profile information, user and employee information, customer and lead records, job and quote data, communications, documents, integration metadata, payment-status information, usage logs, device and browser information, support requests, and other information submitted through ProfX.
Information from integrations
When you connect third-party services such as Google Workspace or QuickBooks Online, ProfX receives information authorized through that connection. For example, Google Calendar access may be used to create and update calendar events, Gmail sending permission may be used to send business email, and QuickBooks access may be used to create or link customers and Estimates. ProfX requests only the permissions needed for enabled features.
How we use information
We use information to provide, secure, maintain, troubleshoot, and improve ProfX; operate customer and job workflows; deliver communications; provide automation and AI-assisted features; support integrations; administer accounts and billing; prevent fraud or abuse; comply with legal obligations; and communicate with users about the service.
Service providers
We may use service providers for hosting, databases, authentication, communications, payment processing, analytics, email, artificial intelligence, support, monitoring, and other infrastructure. These providers process information on our behalf or under their own applicable terms depending on the service.
Google API data
Data received from Google APIs is used only to provide user-requested Google integration functionality. ProfX does not sell Google user data. Gmail read access, if ever enabled by a user, is treated as a separate optional permission and is not required for basic Calendar or Gmail sending functionality.
QuickBooks data
When QuickBooks Online is connected, ProfX may access company information, customers, items, and accounting objects needed for enabled integration features. ProfX currently supports one-way customer linking and owner-requested quote export to a QuickBooks Estimate. ProfX does not automatically create bank transactions or journal entries through this integration.
Communications data
ProfX may process text messages, email content, call or messaging metadata, reminders, and related customer communications to provide communication and automation features. Business users are responsible for ensuring they have appropriate permission to contact their customers.
Payment information
Where ProfX connects to third-party payment processors, payment card details are generally handled by the payment processor rather than stored directly by ProfX. ProfX may retain transaction identifiers, payment status, amounts, processor references, and related operational records.
Data retention
We retain information for as long as reasonably necessary to provide the service, maintain business and security records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and connected service.
Security
We use administrative, technical, and organizational safeguards designed to protect information. No internet-based service can guarantee absolute security, and users are responsible for protecting their credentials and account access.
Your choices
You may disconnect supported integrations from ProfX. You may also revoke third-party permissions directly with the relevant provider. Depending on your account and applicable law, you may request access, correction, or deletion of certain personal information by contacting us.
Children
ProfX is a business service and is not intended for children under 13.
Changes to this policy
We may update this Privacy Policy as ProfX evolves. The current version will be posted here with an updated effective date.
